Vintage Dreams strongly recommends that all weddings are protected by appropriate wedding insurance, which is often available at a modest cost.  This provides cover for unforeseen circumstances affecting the wedding, including issues arising from multiple suppliers beyond the control of either party.  Policies are widely available online, including through The Wedding Insurance Group.

TERMS & CONDITIONS (Version 2.1) – Effective Date: 1 June 2026

 

1. Definitions

 

• “Vintage Dreams” means Vintage Dreams Wedding Car Motor Company Limited and/or Nigel Downton and/or Julie Downton trading as Vintage Dreams Wedding Car Motor Company, being the owner, operator or provider of the vehicle(s) and services the subject of this Agreement.
• “The Hirer” means the person making the booking and entering into this agreement.
• “The Hire” means the provision of chauffeur-driven wedding transport services on the agreed date.

 

2. Booking Confirmation

 

• A booking is confirmed once the reservation deposit has been received and acknowledged by Vintage Dreams. Upon confirmation, the selected vehicle(s) are reserved exclusively for the Hirer on the agreed date.
• Vintage Dreams operates a strict one wedding per vehicle per day policy.

 

3. Reservation Deposit

 

• A reservation deposit is payable within two (2) days of placing the booking.
• The reservation deposit forms part of the total hire fee.
• Following expiry of the statutory 14-day cooling-off period (see Clause 6), the reservation deposit becomes non-refundable except where expressly stated within these Terms.

 

4. Balance Payment

 

• The remaining balance of the hire fee is payable no later than thirty (30) days prior to the hire date unless otherwise agreed in writing.
• Failure to pay the balance when due may be treated as cancellation by the Hirer and the cancellation terms below shall apply.

 

5. Exclusive Hire Principle

 

• Vintage Dreams accepts only one booking per vehicle per day. Once a booking is confirmed, the selected vehicle is reserved exclusively for the Hirer and alternative enquiries for the same date may be declined.
• Wedding transport is typically reserved many months in advance. Cancellation may therefore result in the vehicle remaining unbooked and the associated hire income being irrecoverably lost.
• By confirming the booking, the Hirer acknowledges and accepts this exclusive reservation arrangement.

 

 

6. Consumer Cancellation Rights (Cooling-Off Period)

 

• Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, where the booking is made online, by telephone, or away from our business premises, the Hirer has the right to cancel within fourteen (14) calendar days of entering into the contract.
• Cancellation within this period must be made in writing by email to cars@vintagedreams.co.uk.
• If cancellation occurs within the cooling-off period, all monies paid will be refunded in full.

 

7. Cancellation by the Hirer

 

• If the Hirer cancels the booking after expiry of the 14-day cooling-off period, cancellation charges shall apply as a fair and reasonable reflection of the loss likely to be suffered by Vintage Dreams.
• Cancellation charges are calculated as a percentage of the total hire fee:
  • More than 180 days before hire Reservation deposit retained
  • 180 – 121 days before hire 45% of total hire fee
  • 120 – 91 days before hire 65% of total hire fee
  • 90 – 61 days before hire 80% of total hire fee
  • 60 days or fewer before hire 100% of total hire fee
  • Any monies already paid will be applied toward the cancellation charge.

 

 

8. Rehire of Cancelled Booking

 

• Should Vintage Dreams successfully rehire the same vehicle for the same date, all monies received will be refunded to the Hirer less a £35 administration fee to cover booking amendment and processing costs.
• Vintage Dreams does not guarantee that a replacement booking will be obtained.

 

9. Changes in Circumstances

 

• Cancellation arising from changes to personal circumstances, wedding arrangements, venue, timings, financial position, relationship status, or any other matter affecting the Hirer or their event shall be treated as cancellation by the Hirer and the above cancellation terms shall apply.

 

10. Postponement of Wedding

 

• Where a wedding is postponed rather than cancelled, Vintage Dreams will endeavour to transfer the booking to a mutually agreed alternative date within twelve (12) months, subject to vehicle availability.
• If suitable availability cannot be offered, the booking shall be treated as a cancellation and Clause 7 shall apply.

 

11. Exceptional Fuel Cost Adjustment

 

• Vintage Dreams has based its pricing on prevailing fuel and operating costs at the time of booking and will absorb normal market fluctuations in such costs.
• However, in the event of a sustained and significant increase in fuel costs of more than 20% above the prevailing rate at the time of booking, Vintage Dreams reserves the right to apply a reasonable surcharge to reflect the additional operating cost incurred.
• Any such adjustment will be limited strictly to the proportionate increase in fuel costs beyond this threshold and will not be used to generate additional profit. Full details of any adjustment will be provided to the Hirer in writing, including a clear calculation demonstrating the direct additional cost attributable to the specific hire.
• It is anticipated that any such adjustment would be modest on an individual booking basis, although it is recognised that sustained increases in fuel costs can materially impact the operation of our vehicles across a full wedding season.
• If the Hirer does not wish to proceed following such an adjustment, they may elect to cancel the booking. In such circumstances, the reservation deposit shall be retained by Vintage Dreams, but no further cancellation charges will apply.
• Such circumstances are expected to be rare and this provision is intended only to address exceptional and unforeseen market conditions.

 

12. Wedding Insurance

 

• Vintage Dreams strongly recommends that the Hirer obtains appropriate wedding insurance to cover circumstances outside the control of either party, including but not limited to vehicle failure, unforeseen mechanical issues, supplier disruption, or other unavoidable events.
• Vintage Dreams shall not be liable for consequential losses arising from such circumstances.

 

13. Vehicle Substitution

 

• Vintage Dreams makes every reasonable effort to provide the vehicle(s) specified in the booking. However, in circumstances beyond our control, including but not limited to mechanical failure, accident, or unforeseen operational issues, the specified vehicle may not be available.
• In such circumstances, Vintage Dreams reserves the right to substitute the booked vehicle with the most suitable available alternative from its fleet at the time, having regard to presentation, suitability for the booking, and the operational and logistical constraints then prevailing.
• It is recognised that where such circumstances arise at short notice, the choice of alternative vehicle may be limited to those immediately available and prepared for service.
• If the hire charge of the substitute vehicle is less than that of the original vehicle booked, any refund shall be limited to the difference in hire charges.
• If no alternative vehicle can be provided at Vintage Dreams’ reasonable discretion, liability shall be limited to a full refund of all monies paid in respect of the affected vehicle.

 

14. Passenger Conduct and Chauffeur Authority

 

• The Hirer shall be responsible for the conduct of all passengers travelling in the vehicle(s), together with any member of the wedding party or guest whose actions affect the vehicle(s), chauffeur(s) or the hire.
• All passengers shall behave in a safe, respectful and reasonable manner and comply with any reasonable instruction given by the chauffeur concerning safety, vehicle care, access, seating arrangements or operational requirements.
• Vintage Dreams and its chauffeurs reserve the right to refuse carriage to, or terminate the hire in respect of, any passenger whose behaviour is abusive, threatening, aggressive, unsafe, disorderly or otherwise likely to place the chauffeur, vehicle, passengers or members of the public at risk.
• Vintage Dreams and its chauffeurs further reserve the right to refuse carriage to, or terminate the hire in respect of, any passenger who, in the reasonable opinion of the chauffeur, is under the influence of alcohol, drugs or any other substance to such an extent that their behaviour may compromise safety, comfort, the condition of the vehicle, or the enjoyment of the hire by others.
• No refund, compensation or reduction in hire charges shall be payable where carriage is refused or the hire is terminated as a result of passenger conduct.

 

15. Smoking, Vaping, Food and Drink

 

• Smoking and vaping are strictly prohibited in all Vintage Dreams vehicles.
• Food and drink must not be consumed within the vehicle(s) unless expressly provided by, or agreed in advance with, Vintage Dreams.

 

16. Damage, Soiling and Additional Cleaning Costs

 

• The Hirer shall be responsible for any damage, excessive soiling or unreasonable deterioration caused to the vehicle(s) by the Hirer, passengers, members of the wedding party or guests.
• This includes, but is not limited to, damage or soiling arising from food, drink, alcohol, smoking, vaping, make-up, fake tan, flowers, luggage, footwear, illness, or any careless, reckless or deliberate act.
• Vintage Dreams reserves the right to recover the reasonable costs of cleaning, specialist valeting, repair, replacement, loss of use and any associated expenses arising from such damage or soiling.

 

17. Luggage and Personal Property

 

• Vintage and classic vehicles generally offer limited luggage capacity.  The Hirer should notify Vintage Dreams in advance if luggage, overnight bags or other large items are to be carried so that suitable arrangements can be considered.
• All luggage, valuables and personal belongings remain the responsibility of the Hirer and passengers at all times.  Whilst reasonable care will be taken, Vintage Dreams accepts no liability for loss of or damage to personal belongings unless arising directly from its negligence.

By making the booking, accepting our quotation, and paying the required deposit, the Hirer is deemed to have read, understood, and accepted these Terms and Conditions as published and in force at the date of booking, as referenced within the booking confirmation.
